This documentation will walk you through how to caption your videos using Microsoft Stream and Microsoft Teams, and YouTube.
Microsoft Stream
Microsoft Stream is a video-sharing service that allows you to upload, view, and share videos securely. It is a part of the Office 365 package and with work with your SUNY Cobleskill log in information. We will be using this as our main way of captioning pre-recorded videos/lectures.
Accessing Microsoft Stream
- Click this link to access Microsoft Stream online: https://www.microsoft.com/en-us/microsoft-365/microsoft-stream
- On the Microsoft Stream page click "Sign in". Use your SUNY Cobleskill email address and password, you might be prompted for multi-factor authentication.
Uploading a Video
- In the top tool bar click "Create"
- Then click "Upload video"
- Here you can upload a video by drag and dropping it from your computer to the screen, or you can click the "browse" link to browser files on your computer.
- After selecting the video you want to upload you will see the window below. This is where you can name the document, add a description, and set the video language. NOTE: It might take 10-15 minutes to upload the video depending on the file size
- Once the upload is complete click "Publish"
Turning Captions On
- Click the video you want to add captions to.
- Then click the "..." icon located below the video, from the menu click "Update video details"
- In the Details box select the language of the video from the drop-down menu, then click "Apply" at the top. NOTE: Automatic captions generally take 1-2 times the video's duration to complete the captioning process (ex. if you have an hour long video the expected wait time for the captioning is 2 hours)
- After captioning process is complete, there will be a "CC" icon in the bottom tool bar of your video. When you click this the closed captioning will show at the bottom of your video.
Microsoft Teams
NOTE: this captioning feature is only available when using the Microsoft Teams application, NOT the web version.
- In your Microsoft Teams application click the Team you want to video with
- Click the "Meet now" icon on the bottom of your screen
- In the setting options click "Turn on live captions". When you speak, the captioning will display at the bottom of your screen.
YouTube
Creating a YouTube account
- Access YouTube with the following link: https://www.youtube.com/
- In the top right hand corner click "Sign in"
- If you don't have an account created, click "Create account"
- Click "For myself"
- In the next window enter your name, email address, and password to continue creating an account, then click "Next".
Uploading your Video and Making it Private
When uploading your videos to YouTube it is important to make sure they are private, this will only users who have the link to access and view your videos. Below are the steps on how to upload a video to YouTube and make sure they are private.
- Click your account icon in the top right corner, then click "Your channel"
- In the next window click "UPLOAD VIDEO"
- Then click "SELECT FILES". This will bring you to your File Explorer on your computer where you can select the video you want to upload.
- After selecting the file to upload you will get an editing screen, here you can title the video, and add a description. When you are done with this page click "NEXT".
- Once in the "Visibility" section, you can then have the option to make your videos private. There are three options:
Private: Only you and people you choose can watch your video
Unlisted: Anyone with the video link can watch your video
Public: Everyone can watch your video
- It is recommended to select "Unlisted", this will generate a link that you can then upload to Moodle. Only those you have access to the link will be able to view the video. It is NOT available to anyone else.
- When you are are finishing with the settings click "SAVE". Then you will get a window letting you know your video has been published with the video link located at the bottom.
Turning on Closed Captioning
- After uploading your video to YouTube, access your Videos, then go to "Uploads"
- Hover over the video you want to edit and click the pencil icon, "Details"
- On the details page click "More options" at the top
- Under "Video Language" select from the drop-down menu.
- When finished click "SAVE"
- To turn captioning on click the "CC" icon on the bottom tool bar of your video.
Uploading the Link to Moodle
In the previous documentation we learned how to make your videos private. In doing so a link was generated, this is the link that we are going to add to your Moodle course.
- Begin by opening the Moodle course you want the link to be added to
- Under the Administration block click "Turn editing on"
- Under the topic you want to add the video to click "Add an activity or resource"
- At the bottom click "URL", then click "Add"
- Copy the URL from YouTube
- In Moodle, add a name for the URL and description, then paste the URL in the "External URL" box.
- Under "Appearance" you have the option to embed the video, make it a pop-up, or you can choose automatic.
