Overview
What: Calendar sync is a way to make sure Navigate360 appointments are shown on your professional calendar and constraints on your professional calendar are reflected in the Navigate360 platform. The .ics for iCal only pushes appointments from Navigate360 to iCal. We do not have the ability to do a free/busy sync with iCal that pulls a user's calendar events into Navigate360 as Busy. Hence, users syncing with iCal have only a one-way sync of their Navigate360 appointments to their iCal.
Where: Calendar sync configurations are on the Calendar page, which is accessible by clicking the calendar icon in the left-hand navigation bar, and then clicking Settings and Sync.
Who: Calendar syncing provides staff and faculty with the ability to sync their professional calendars with the Navigate360 calendar.
Conditions: Access to calendar syncing is permission-based.
Instructions
Please follow the below instructions or watch this helpful video: Navigate Availability Tutorial (youtube.com)
To set up your calendar syncing:
- Open My Calendar and select the Settings and Sync button
- The Calendar Settings page will open. If you have not yet set up a sync, you will see the image below
- Click Setup Sync. The Calendar Settings: Setup page opens
Other Applications
- Select Other Applications on the Calendar Settings page after following the instructions above to reach that page. (This is by selecting Sync Settings on the Calendar page.) A page with iCal URLs shows that can be inserted into your calendar application. These resources are necessary. Note. You must know how to use these links with your calendar application for them to work.
After you have set up your Calendar Sync, You have two options listed under the Settings and Sync page to help you troubleshoot when your calendars are not syncing.
Retry Sync: lets users reconnect to the Navigate servers if calendars are not syncing.
Disconnect Sync: lets a user disconnect their personal calendar from Navigate. Users might do this if they leave the institution or have changed their email address. Disconnecting your calendar takes about 30 minutes to finish so your user may still see Navigate items on their calendar for a short time.
Note: Events synced are limited to 3 months in the past and 12 months in the future.
