Depending on the environment the user is accessing, the method to report an email will be different. Please follow the steps below on how to report an email on Webmail, the outlook desktop client/application, and the mobile outlook application.
NOTE: Some of the methods mentioned require the installation of an add-in(specifically the outlook desktop client/application and the mobile outlook application), If the report feature is missing please refer to the attached document.
NOTE 2.0: Reporting an email as phishing has changed, for potential phishing emails, please report them using the KnowBe4 phish alert button as shown in the steps below.
NOTE 3.0: Shared mailboxes do not have the ability to report emails using the KnowBe4 Phish Alert Button, if you receive a phishing email in a shared mailbox please report the email by forwarding it to itscybersecurity@cobleskill.edu.
Reporting an Email as Phishing Using the KnowBe4 Phish Alert Button:
The KnowBe4 Phish Alert looks like the image below:
On Webmail:
Method 1:
1. Click on the email in question so that it is displayed on the preview pane on the right
2. On the top right of the email preview pane there will be a button that looks like an open envelope with an orange hook.
Method 2:
1. Click on the email in question so that it is displayed on the preview pane on the right
2. On the top right of the email preview pane, click on the three dots that line up horizontally on the top right of the email.
3. A drop-down bar should appear that lists several options, one of those options should say "Apps", click on that option
4. you should then get a pop-up window that has the KnowBe4 Phish Alert Button
On Outlook:
1. Select the Email in question so that it is displayed in the preview pane.
2. On the Home tab, go to the far right on the ribbon and select the KnowBe4 phish button
On Mobile Device:
1. Select the email in question so that you are previewing the email.
2. Select the three dots on the top right and a tab from the bottom of your screen should appear.
3. In the tab the KnowBe4 Phish Alert button should appear at the very bottom, you may need to scroll up.
How to report an email as junk, spam, and/or block an email:
1. Please do not report phishing emails using this method. For any potential phishing emails please report them using the KnowBe4 phish alert button as indicated above. If you have difficulty reporting emails using the KnowBe4 Phishing Alert Button even after reviewing the steps above and in the document, please feel free to report it using the methods listed below.
On webmail:
Method 1:
1. In your list of emails, on the left, not the preview pane, Right-click the email in question. you should get a list of options, click on the one that says "Report"
2. Select either "Report Phishing" or "Report junk" depending on the type of email
Method 2:
1. When you have the email displayed in the preview pane on the right, click on the three dots in the top right of the email.
2. You should get a list of options, click on the one that says "Report", Select either "Report Phishing" or "Report junk" depending on the type of email
On Outlook:
1. To report an email, select the email in question.
2. Click on the "Home" if not already selected.
3. Navigate to the “Report Message” button on the top right. (If this button is not present, please refer to the attached document)
4. You will then be presented with the following options: “junk”, “Phishing”, and “Not Junk”.
On Mobile(Outlook App):
1. Select the email to be reported and click on the three dots on the top right of the email.
2. A window will appear from the bottom of the screen, within there should be a "Report Message" Option.
3. When clicked You will then be presented with the following options: “Report as Phishing”, “Report as Junk”, and "Report as not Junk"
Via a Service Request (should be the last resort if you cannot find the information on the document or the information above useful)
