Office moves within SUNY Cobleskill are essential for accommodating growth, optimizing space, and improving workflow. To ensure a smooth transition, office moves should be requested with no less than 7 days' notice. This policy outlines the steps and approvals required to facilitate efficient office relocations.

Requesting an Office Move: Before filing a request, the requester must obtain approval from their supervisor. Once approved, the requester and/or their supervisor must inform Human Resources, Facilities, and also file a service request ticket with ITS.

Approval Process:

  • All move requests require approval from the department head, ITS, Facilities, and Human Resources.
  • Approval is contingent on space availability and organizational needs.

Scheduling the Move:

  • Approved moves will be scheduled based on priority and resource availability.
  • The ITS department will coordinate with relevant departments to determine a suitable moving date.

Preparation:

  • Employees are responsible for packing personal items and non-technical equipment.
  • ITS will manage the disconnection, moving of, and reconnection of all office technology and equipment.

During the Move:

  • ITS staff will ensure all technology equipment is safely transported and set up in the new location.
  • Any issues encountered during the move should be reported to the ITS Service Desk immediately.

Post-Move Support:

  • Post-move support is available for troubleshooting and resolving any issues related to the move.
  • Report any issues or request additional support through the ITS Service Desk.

Summary of Responsibilities:

  • Employees:

    • Approval from Supervisor
    • File service request with ITS
    • Pack personal and non-technical items.
    • Label all items clearly with their name and new office location.
  • Department Heads:

    • Approve/Deny office move requests.
    • Ensure their department is prepared for the move.
  • ITS Department:

    • Approve and schedule office moves.
    • Coordinate the disconnection, transport, and reconnection of technology and equipment.
    • Provide post-move support.
  • Facilities:

    • Assist with the physical move and setup of office furniture and other non-technical equipment.
  • Human Resources:

    • Ensure that the move complies with organizational policies and address any personnel-related concerns.
