Email Encryption

What Is It?

SUNY Cobleskill utilizes encryption for email that contain sensitive information that is being sent to an external recipient. This is implemented to mitigate the chance of a third-party malicious actor from reading the email if intercepted, which protects the privacy that information pertains to.

Please keep in mind that sending sensitive information over email is highly insecure and should only be used as a last resort, even with encryption it does not guarantee that the email will not be intercepted and read. The following methods must be exhausted before using email:

  • old-school fax
  • deliver the information in person
  • Over the phone
  • Deliver the information by postal service
  • Deliver the information using a trusted secured drop box that can be password protected and/or only viewed by the designated recipient.

How Do I Use It?

Emails that are being sent externally can be encrypted by adding the following keywords to the subject line: [coby-encrypt] the brackets are a part of the keyword. If applied correctly the recipient who receives emails with that keyword will only be able to view the email from the email account that the email was designated for and will need to sign in to be able to view it.
